Do you have a Work Order?

Administrative and office support staff in the Canby School District may submit facilities and maintenance work orders through Incident IQ.

Building staff must work with their front office staff to submit work orders for repairs, leaks, moving heavy furniture and courier requests.

Facility Rental

Are you interested in renting a field, cafeteria, gyms space or the auditorium? All facilities requests must go through the Facility Department at Canby School District for approval.

Planning School Events and Activities

The Canby School District Operations Team ensures that school facilities are used in a manner that provides safe opportunities to our students, staff, and community.  Throughout the school year, school leaders, community and parent groups organize events, such as carnivals, dances, and field days that utilize services and equipment from outside vendors.  To ensure that the school district is protected and our students, staff, and community are safe, the following guidelines are provided for these events:

  • All large events that may utilize external services must be requested and scheduled at least two weeks in advance through the Facility Use Application process found on the CSD Facility webpage.  This process permits operations teams to respond and support any necessary aspects of the event, such as trash removal, technology set up, and staff schedule adjustments.

  • Any vendor providing a service MUST meet district insurance requirements. These requirements are found within the Facility Use Fee Schedule on the CSD Facility webpage.

Apparatus/Equipment Use Guidelines

Due to the significant injuries that have resulted from the use of trampolines and enclosed inflatable/bounce structures, their use within CSD is prohibited.  Inflatable slides and obstacle courses may be permitted if the following requirements are met:

    • The supplying vendor provides a certificate of liability per the facility use process.
    • The vendor unloads, sets up, and takes down all equipment.  At no time should CSD staff, parents, or community members be solely responsible for setting up equipment.
    • An employee from the inflatable company is present for the duration of the event.  
    • Volunteers who are supervising inflatables meet the supervision rules for equipment/apparatuses section below.
    • Inflatables are not to be used indoors, on concrete, asphalt or on other hard surfaces.
    • Consumer-grade inflatables are not used.

     Dunk tanks may be permitted if the following requirements are met:

    • The supplying vendor provides a certificate of liability per the facility use process.
    • The vendor unloads, sets up, and takes down all equipment.  At no time should CSD staff, parents, or community members be solely responsible for setting up equipment.
    • An employee from the dunk tank vendor is present for the duration of the event.
    • Only staff members utilize the dunk tank; no students can be dunked.
    • Dunk tanks are used outdoors only.
    • Only outdoor water spigots are used to fill dunk tanks.

Supervision Rules for Equipment/Apparatus Use

  • It is MANDATORY that an employee from the vendor be present for the duration of the event if that vendor provides an inflatable apparatus or dunk tank.  This individual ensures equipment is properly set up, functioning, and that supervision is adequate.

  • Volunteer supervisors who supplement the vendor or manage an apparatus solely, must be trained by the providing vendor.

  • Volunteers supervising activities must understand the safety rules for the event and must be able to enforce rules with students.

Food and Food Vendor Guidelines

  • All food vendors must provide facility use paperwork along with a certificate of liability per the facility use process.

  • All food vendors must follow health department regulations concerning safe food handling and restaurant licensing.

  • At-home preparation of food is prohibited.

  • Due to fire code, all mobile kitchens within carts, trailers or other vehicles must be fifty feet away from all buildings.  

  • Any mobile kitchen must be self-contained; no vendor can connect to facility water, power, or other district-provided utility. 

Movie Nights and Video/Film Presentations

Public performances of motion pictures and other audiovisual works are prohibited unless they have been authorized through a license. The district technology team manages a process to permit presentation of a large library of motion pictures including most Disney, Pixar, and other school-appropriate films.  Please connect with the technology team via a help desk request when planning an event where a movie will be shown.

Equipment and services that CANNOT be used in CSD

Due to liability, injury, and other factors, the following is prohibited:

  • Mechanical Bulls

  • Bubble Soccer

  • Jousting

  • Mobile Climbing and Rock Walls

  • Unlicensed presentations of motion pictures
